Transfer and Cancellation Policy
We understand that plans can change, and we want to support our families while maintaining the quality of our programs. Please review our cancellation and transfer guidelines below.
Session-Based Programs
(Examples: swim lessons, dance, gymnastics following Fall, Winter 1, Winter 2, or Spring sessions)
- Transfers: Transfers may be requested, but they are not guaranteed. Requests will be considered on a case-by-case basis depending on space, instructor ratios, class size, and levels already enrolled in the program (if applicable).
- To request a transfer, a Transfer Request Form must be submitted
- Cancellations:
- Up to two weeks before the program start date: Full refund/credit, minus a $10 administrative fee.
- From two weeks prior until before the second class: 50% of the program fee credited to your Hayden household account (valid for one year).
- After the second class: No refunds or credits are available.
One-Day Programs & School’s Out Childcare
(Workshops, clinics, single-day, and vacation week childcare)
- Transfers: May be requested, but are not guaranteed. Requests will be considered on a case-by-case basis depending on availability, staffing ratios, and levels already enrolled (if applicable).
- To request a transfer, a Transfer Request Form must be submitted
- Cancellations:
- Up to two weeks before the program date: Full refund/credit, minus a $10 administrative fee.
- From two weeks prior until the day before: 50% of the fee credited to your Hayden household account (valid for one year).
- On or after the program date: No refunds or credits are available.
Summer Camp
(All camp sessions)
- Transfers: May be requested, but are not guaranteed. Transfers will be reviewed and approved by the camp director if space, ratios, and enrollment levels allow.
- To request a transfer, a Transfer Request Form must be submitted
- Cancellations:
- At least three weeks before the camp session begins: Refund/credit, minus a $50 administrative fee.
- After this deadline: No refunds or credits are available.
How to Cancel or Request a Transfer
- Most cancellations can be completed directly through your Hayden online account.
- To request a transfer, please complete our Transfer Request Form — requests will be reviewed and approved on a case-by-case basis.

If Hayden Cancels
If Hayden cancels a scheduled activity more than once within a session, a credit will be issued for the second and any additional canceled dates. These credits will be processed by the end of the session.
